Marketing Request Forms and Resources

Marketing requests must be submitted using the appropriate form below. To ensure swift execution, submit requests with the lead times mentioned in the form descriptions. Delays may affect our ability to fulfill your project.

What to expect:

  • After your form is received, the Marketing team will reach out only if we have questions or need additional materials.
  • You may also receive email notifications for proof reviews, change submissions, and approvals. Prompt responses are crucial to avoid delays in receiving your final materials.

Emergency updates:

For urgent issues like power outages or event cancellations, please CALL the Superintendent of Marketing directly instead of using these forms.

Marketing Campaign List

Proactively Promoted Activities and Events

The Marketing Department proactively promotes activities/events that meet the following criteria:

  1. A capacity of 250 participants or more per session
  2. Included in the relevant seasonal Playbook or Camp Guide

These activities/events are listed on the Campaign List, linked below, and reviewed quarterly. Priority is given to activities/events with high revenue-generating potential. The Campaign List also outlines the level of support each activity/event is expected to receive. Please note the following:

  • Promotional Materials: Created directly from the Playbook or Guide details.
  • Marketing Request Forms (MRF): Generally not required unless specified on the Campaign List.
  • Enrollment Verification: Marketing does not track enrollments for events outside the Campaign List.
  • Capacity Monitoring: Once an activity/event reaches its capacity, Marketing will no longer promote or track participant numbers. If capacity is later increased, staff may submit a request form for additional promotion to fill the activity/event.

Project Requests

Graphic Design Request

Lead time: 15+ business days

A minimum of 15 business days’ advance notice is required for graphic design requests. Projects that involve outsourced printing or other services may require longer lead times.

For all creative services, including flyers, social media graphics, and signage, a form must be submitted. This allows Marketing to understand your needs and gather important details about your project. Please refrain from submitting a request until all details have been finalized, the copy has been approved by stakeholders, and supporting files (such as partner logos) have been received.

Due to our marketing and communication-related priorities and core responsibilities, we may not be able to accommodate all graphic design requests.

Weekly Newsletter Request

Submission deadline: Noon on Monday for inclusion in Thursday’s newsletter, unless otherwise indicated here.

Reach thousands of engaged readers in the District’s weekly newsletter. Here’s how you can contribute:

  • Upcoming events and programs: Highlight compelling details, unique aspects, and why people should attend or register.
  • Facility updates: Share changes to hours, closures, or maintenance notices.
  • Project progress: Celebrate milestones and impact. Showcase your team’s hard work and progress on current initiatives.
  • Awards & achievements: Shine a light on successes. Celebrate accomplishments and milestones reached by the District and staff.
  • Important notices: Share essential information that benefits our community. Inform about construction impacts, Open Houses, or other relevant announcements.

Submit separate requests for each week you need coverage (maximum of two).

Social Media Post Request

Lead time: 3+ business days

Help us tell the story of our District and connect with the community! We’ll choose content based on schedule, engagement, and best practices. We’re looking for:

  • Event buzz: Share details, dates, and why people should attend or post-event highlights.
  • Project progress: Celebrate milestones and impact. Showcase your team’s hard work and progress on current initiatives.
  • Awards & achievements: Shine a light on successes. Celebrate accomplishments and milestones reached by the District and staff.
  • Fun stuff: Capture everyday moments that highlight the spirit of the District.
  • Important notices: Share essential information that benefits our community. Inform about construction impacts, Open Houses, or other relevant announcements.

Website Post Request

Lead time: 5+ business days

Keep our community informed and engaged! The “Latest News” section on our homepage is the perfect platform to share essential updates, promote upcoming events, and foster community awareness. Focus your content on: 

  • Facility updates: Share changes to hours, closures, or maintenance notices.
  • Community events: Promote upcoming events, provide parking details, and encourage participation.
  • Important notices: Share essential information that benefits our community. Inform about construction impacts, Open Houses, Board meeting cancellations, or other relevant announcements.

Webpage Content Change Request

Lead time: 5+ business days

Thank you for your assistance in keeping our websites up to date! Complete this form to request edits to the main Glen Ellyn Park District website (gepark.org) or the Ackerman SFC website (ackermansfc.com), excluding tables and PDFs that you are responsible for maintaining.

Business Cards &/or Name Badge Request

Lead time: 10-15 business days for creative development + delivery

Run out of business cards? New employee? Use this form to request Glen Ellyn Park District or Ackerman SFC branded business cards and/or Glen Ellyn Park District branded name badges.


News Release Request

Lead time: ~7 business days

Want to spread the word about the Park District’s services, achievements, or programs and events? This news release request form is your key to local media coverage. For Event Coverage: To ensure timely publication, submit your request at least three weeks before the event. This allows us to craft a compelling release and reach media outlets two weeks in advance.

Photography Request

Minimum 3 weeks advance notice required for consideration (weekends book months in advance)

While we strive to accommodate all photography requests, our focus naturally lies on projects with a broad external marketing reach. Submitting a request doesn’t guarantee coverage, but it helps us prioritize projects that best align with our goals. Please note that this form isn’t intended for “picture day” type photos, as those fall outside our scope and should be budgeted for within your program.
